Sponsor Kiosk Details

2025 Kiosk Features

• Turn-Key Kiosk: All sponsors receive a turn-key kiosk featuring their custom graphics printed by our exposition vendor.
• Included: Each kiosk includes two stools.
• Not Included: Power and AV equipment are not provided.
• Prime Location: Kiosks are prominently displayed in the ISTA Forum Networking Hub, the central space where attendees gather for the Welcome Reception, shared breakfasts, breaks, and the popular Sponsor Exhibition Reception.

Submit Kiosk Artwork

• Sponsors must upload digital print-ready artwork files for Panels 1 and 2 to their designated SharePoint folder (link was sent to sponsor contact). ISTA's production company will handle printing and installation of the graphic panels on the kiosk.
  
  • PANEL 1 Dimensions: 40 5/8” (W) x 55 ¼” (H)
  • PANEL 2 Dimensions: 40 3/16” (W) x 40” (H)
• DEADLINE: Submit digital print-ready artwork files by Friday, February 14.
  
• Guidelines: Refer to the digital file submission guide to ensure high-quality graphics.

Kiosk Guidelines

• No Booths or Banner Stands: Sponsors do not need to bring a booth, and retractable banner stands are not permitted. Only the kiosk counter space may be used for displaying marketing collateral.
  
• Setup: Sponsors can add their marketing collateral to their kiosk counters between 2:30 PM and 4:00 PM on Monday, March 24, before the Welcome Reception begins.
  
• Sponsor Presence at the Kiosk: Sponsors are required to be present at their kiosk ONLY during the Sponsor Exhibition Reception on Tuesday, March 25, from 5:30 PM to 7:30 PM. Outside of this time, sponsors are encouraged to use their kiosks as "meet-up" spots for networking throughout the event.
• Kiosk Display Duration: Kiosks will remain on display until 5:00 PM on Wednesday, March 26.

Sponsor Exhibition Reception Door Prize Program

• We boost attendee engagement during the Sponsor Exhibition Reception held on Tuesday, March 25 from 5:30pm-7:30 pm, with the popular ISTA Forum Door Prize Program!
• How It Works: Sponsors are encouraged to bring a door prize (no logos) valued at $50 or more. Attendees use the event app to visit sponsor kiosks and enter the door prize drawing. The more kiosks they visit, the greater their chances of winning!
• Prizes will be announced near the end of the reception and winners must be present to claim their prize.
• Sponsors who provide a door prize will receive recognition for their contribution.
  

Lead Retrieval

Sponsors can use our event app for lead collection at the ISTA Forum. As attendees visit your kiosk, simply scan their QR codes to add them to your lead list. If any attendees submit an inquiry, you'll be able to interact with them through the app.

Policies

Cancelation Policy: Sponsors are not permitted to cancel and receive a full refund after registering. Written notification of cancellation for the Sponsor Kiosk Space must be sent via email to lisa@ista.org.

Subletting: Subletting or assigning any portion of the contracted Sponsor Kiosk space is prohibited.  Sponsor Companies who re-sell or sublet space or give Sponsor Name Badges to unauthorized personnel will forfeit their Sponsor Kiosk Space and/or future Sponsor Kiosk Space privileges. Featuring names or advertisements of non-exhibiting companies/organizations is prohibited.  Sponsor Companies must showcase only goods manufactured and/or distributed, or services provided by them, in the regular course of business.

Security: ISTA will have no liability for any loss or damage by a Sponsoring company, whatever the cause.  Kiosk Space security and protection of valuable items may require additional security at the Sponsoring Company‘s expense. Please discuss with ISTA for options.

Use of Forum Logos: The Forum logos may be used only by registered Sponsoring Companies.  No endorsement by ISTA of Sponsor Company‘s products or services, expressed or implied, is permitted. Sponsoring at the Forum does not constitute an endorsement by ISTA.

Policy on Industry-Sponsored Social or Educational Events: No commercial, institutional, social or educational event may be held at the Forum venue between Monday, March 24, 2025 and Wednesday, March 26, 2025.

Kiosk Content: Distribution of promotional materials will be limited to the Sponsor Kiosk Space reserved by the Sponsor Company. ISTA reserves the right to restrict or prohibit and, if necessary, remove or require correction of any kiosk that is unsuitable or objectionable to ISTA or the Hotel. Permission to modify any portion of the provided kiosk will be prohibited unless approved by ISTA.

Refusal of Service: ISTA reserves the right to deny Sponsor Kiosk Space to any company or organization whose activities or mission is in direct conflict with those of ISTA.
